The Challenge of Information Overload

Regulatory and compliance teams deal with tons of documents like SharePoint files, Excel sheets, and policy PDFs. During an audit, finding the right rule or clause can be hard. We saw a chance to make this easier using the Power Platform’s chat-based features.

Creating a Copilot for Compliance

Using Power Platform Copilot Studio, we built an internal assistant capable of answering complex compliance queries in natural language. It was connected to:

  • SharePoint libraries containing policy files
  • Dataverse tables storing audit logs and metadata
  • Power Automate flows that retrieved and summarized content dynamically
  • Azure OpenAI for contextual summarization of lengthy documents

When a user typed, “What’s our data retention policy for 2025?”, Copilot fetched the latest version, summarized key points, and offered download links.

A Culture Shift, Not Just a Tool

The impact went beyond time savings. Compliance officers began collaborating inside Teams, using the Copilot as a shared source of truth instead of passing around attachments. Document lookup time fell from hours to minutes, and audit response consistency improved significantly.
